Project Summary
The Hermitage Medical Clinic is a 112-bed private hospital in Lucan, West Dublin that provides medical, surgical and advanced radiotherapy care to its patients in their state-of-the-art facilities.
After a thorough review of their office and print requirements, the Hermitage Clinic were looking to reduce costs, streamline ordering and consolidate suppliers.
Following a robust tendering process, Codex was delighted to work with the Hermitage Clinic to achieve their objectives. Codex secured the tender based on their ability to provide direct cost savings, reduce tasks, and consolidate suppliers, resulting in long term cost benefits across the business.
The Challenge
Working with the Hermitage Clinic, Codex was tasked at reviewing 2 key areas. This involved breaking the project into two separate phases.
The 1st step was to review the Hermitage’s office stationery requirements from all departments in order to identify a product list that could be used across the business.
The 2nd phase was to examine all of the clinics print and marketing needs, including analysing all existing pieces of print to pinpoint gaps and duplicates that could reduce the number of individual pieces required.
The Strategy
Phase one involved a review of the current stationery basket which led to agreeing a standardised range of product that was fit for purpose across all departments. This new contract list was rolled out to a working group to test high volume lines.
Once the product was signed off, the project moved to the next level of pilot which was moving users to EvoX, Codex’s online ordering platform. This provided Hermitage colleagues with a controlled, quick and easy method of procuring their most frequently ordered products at the touch of a button.
The second phase of implementation was the much greater challenge of sourcing and supplying all the Hermitage Clinic’s printed stationery. The Hermitage Clinic had been using several different local suppliers for all its printed and marketing material and wanted to consolidate their ordering to one supplier.
All details in relation to brand guidelines, pantone references and paper weights had to be agreed on every sample; the attention to detail was essential in an organisation with such high standards as the Hermitage. Print usage levels were evaluated and the products procured in bulk or pallet quantities which were then stored at Codex’s secure warehouse for daily ordering by the Hermitage end users. This meant order quantities were increased (getting improved value) but delivery sizes were reduced so that the departments could order small quantities as they required, freeing up valuable space throughout the Clinic.
The Result
The careful consolidation of suppliers and review of current requirements enabled Codex to attain economies of scale in terms of procurement.
The ability for the Hermitage Clinic to be able to store product and print at Codex, enabled them to free up valuable space and ensure their orders could be fulfilled quickly. In addition to this, the introduction of our online system, meant that the Hermitage Clinic had full stock transparency and were able to control costs across all departments through one monthly invoice.
