TERMS & CONDITIONS

1. These terms and conditions apply to any competition, prize draw or promotion we may run, whether on our website, social media platforms, on-air or otherwise ('Promotion').
2. By entering a Promotion, you agree to be bound by these terms and conditions, along with any other Specific Rules which relate to a Promotion. Specific Rules might include entry instructions and any other details, rules, or conditions relating to a particular Promotion, and may be published on our website, social media platforms, or found in other media featuring a Promotion. The Specific Rules will usually (but may not always) refer to these terms and conditions.
3. In these terms and conditions, 'we', ' us', 'our' and 'Promoter' all mean Codex Ltd. Our registered address is: 89 Lagan Road, Dublin 11, D11 NY94, Ireland.

Start and End Date/Time

4. Each Promotion will start immediately (i.e. as soon as it is first promoted), unless a later start date/time is specified. The closing date/time for a Promotion will be made clear in the Specific Rules or the relevant promotional materials. All times will be based on Irish Standard Time (IST).

Entering a Promotion

5. Each Promotion will be open to individuals who are Codex customers and aged 18 or older, unless the Specific Rules, promotional materials, or announcements specify a different geographic region or a different minimum age.
6. In any event, our employees, agencies, freelancers, contractors (and those of any of our promotion partners, associated companies or prize providers) and their immediate family members or households (whether related or not), and anyone else professionally involved with the relevant Promotion, are excluded from entering and from winning ('Excluded Individual(s)').
7. To enter, follow the entry process for the relevant Promotion, which will usually be explained in the Specific Rules and/or promotional materials or announcements.
8. You may only make a maximum of one entry into each Promotion (unless the Specific Rules for a particular Promotion expressly set a higher maximum number of entries for that Promotion).
9. There is no charge to enter a Promotion. However, if entry is made via text message, MMS or telephone call, your network provider will usually charge according to their standard rate or deduct it from your allowance. If entry is made by text message, be sure to use the correct.
10. If the entry involves a live call-in, ensure you answer your telephone when we phone you. If you fail to do so, or if the call becomes disconnected or you are not audible for any reason beyond our control (including, but not only, low/no signal on your device, or a call being dropped by any network, etc.) before or during the Promotion, you may be disqualified, and we reserve the right to select another entrant to participate in the Promotion.
11. All Campaigns are exclusively valid within the Republic of Ireland only.

Winner Selection/Notification

12. For each Promotion, there will be only one grand prize winner unless otherwise specified.
13. Unless otherwise specified in the Specific Rules:

13.1 In the case of a prize draw, winner(s) will be selected at random. This will be done by an automated process or a process conducted or supervised by an independent person, or as otherwise specified in the Specific Rules.

13.2 In the case of a competition, winner(s) will either be selected by (a) an independent judge or (b) a panel of judges which includes at least one independent judge.

14. If you win a prize, we will notify you within fourteen (14) days of the end date of the Promotion. To claim the prize, respond to the notification within the deadline set out in the Specific Rules (or within 28 days if no time frame is set in the Specific Rules within the notification) and follow the instructions which will be provided to you.

Prizes

15. The prize or prizes will be as described in the relevant Specific Rules. Imagery may be for illustrative purposes only, and colours and other minor details may vary.
16. Each prize is non-transferable and non-refundable; no cash alternative is available.
17. If we consider it necessary or appropriate, a prize or prizes (or part thereof) might be varied or swapped for a suitable alternative, which will be decided in our sole discretion.
18. If you fail to claim the prize within the time limit, comply with any other instructions or time limits notified to you, or provide us with incorrect or fraudulent information, you will forfeit your right to the prize. We will then select an alternative winner. 
19. You will not be entitled to receive a prize that, for any reason, you would be prohibited by law from purchasing, using, owning or possessing.
20. The prize cannot be used with other offers, promotions or prizes.
21. Third-party terms and conditions apply to parts of a prize where applicable. For example, where the Prize contains ticket(s) to an event, you and any guest or travel companion will not only be bound by these terms and conditions and the relevant Specific Rules, but also the event organiser and venue owner's rules and any terms and conditions set out on the ticket.
22. Unless otherwise stated in the Specific Rules, you may not win more than one prize per Promotion, and we reserve the right to withhold or reclaim any second or subsequent prize.

Previous Campaigns

1. Open An Account Promotion
   1. This promotion (and the corresponding coupon code) is only eligible for new customers who elected to open an account with Codex. As per “Entering promotion” clause 8, you are only eligible for a maximum of one hamper per user, and the coupon code can only be redeemed on orders of €5 or more.
   2. Stock is limited for this promotion, and it is available on a first-come, first-served basis. The coupon code is eligible until September 30th, 2023, unless the associated stock is cleared before then.
2. DB Office Promotion
   1. This promotion (and the corresponding coupon code) is only eligible for previous DB Office customers who elected to open an account with Codex. As per “Entering promotion” clause 8, you are only eligible for a maximum of one hamper per user, and the coupon code can only be redeemed on orders of €100 or more.
   2. Stock is limited for this promotion, and it is available on a first-come, first-served basis. The coupon code is eligible until December 31st, 2023, unless the associated stock is cleared before then. 
3. Ireland's Best Managed Companies Promotion
   1. Only available for new customers. A discount of up to €50 is available.
   2. One discount redemption per account. The promotion only applies to orders placed by telephone or email.
   3. All products are eligible for the discount; however, please note that all furniture items purchased are non-refundable. 
   4. Valid until 31 December 2024.
4. Charitable Donation Promotion
   1. Promotion Period: The charitable donation promotion is valid starting December 4, 2023, for orders placed on or before December 21, 2023.
   2. Donation Amount: For every order placed during the Promotion Period, Codex will donate €5 to Barretstown, up to a total cumulative donation of € 5,000.
   3. Donation Transfer: All donations will be directly transferred from Codex to Barretstown. Codex holds no responsibility for any dissatisfaction regarding the allocation or use of the donated funds by the charity.
   4. By participating in this Promotion, you agree to these terms and conditions. Codex reserves the right to modify or terminate the Promotion at any time.
5. Pen Pincher Campaign 2024
   1. Campaign Period: The promotion is valid starting June 10th, 2024, to June 18th, 2024, and winners will be announced thereafter.
   2. Entry into the competition is open to all users who watch the Pen Pincher video, complete the competition form, and answer the competition question correctly.
   3. The grand prize is a €500 Bluebook voucher. Non-transferable. Cannot be exchanged for cash.
   4. The first 15 entries with the correct answer to the competition will win a 22K gold-plated pen.
6. CSR Report Hamper Competition
   1. Promotion Period: The competition begins on Wednesday, October 2, 2024, and will run while stocks last. The winner will be announced shortly thereafter. 
   2. Eligibility and Entry: To enter, participants must comment with the tagline from our CSR report on our competition post across any of our social media platforms. Only one entry per person will be considered for the hamper prize.
   3. Prize Details: The grand prize is a specially curated sustainability hamper filled with Irish-made goodies. Please note that the prize is non-transferable, non-exchangeable, and cannot be redeemed for cash.
7. Leap Sit-Stand Desk and NV Chair Grand Prize 
   1. Promotion Period: The competition starts on Thursday, November 7, 2024, and ends on November 14, 2024. The winner will be chosen through a prize draw and announced shortly afterwards.
   2. Eligibility and Entry: To enter, participants must comment on any of our social media posts related to the competition using the hashtag #OfficeComfortWithCodex. Only one entry per person will be eligible for the grand prize.
   3. Prize Details: The grand prize includes our high-quality Leap Sit-Stand Desk and NV Chair. Please note that the prize is non-transferable, non-exchangeable, and cannot be redeemed for cash.
8. Codex Hampers Instant Win Competition
   1. Codex will give away one hamper per platform: LinkedIn, Facebook, and Instagram.
   2. Promotion Period: The competition has no specific start or end date, as it is an instant-win competition. The first person to comment on the phrase and hashtag in the video’s social media comments section will win. The winner will be announced shortly thereafter.
   3. Eligibility and Entry: To enter, participants must be the first to comment on LinkedIn, Facebook, or Instagram. Each entrant is eligible to win only one hamper. If the same person is the first to comment on two platforms, they will only receive one hamper. Only one entry per person per platform will be considered for the hamper prize.
9. Codex Christmas Advent Calendar - 2024
   1. Promotion Period: The Advent Calendar offer is valid while supplies last.
   2. Eligibility: Customers must make a minimum purchase of €5 or more to be eligible to receive the Advent Calendar.
   3. Automatic Inclusion: No coupon code is required; online orders meeting the purchase amount will automatically include the Advent Calendar.
   4. Limited Availability: Calendars are available on a first-come, first-served basis, with limited stock.
   5. One Per Order: Only one Advent Calendar will be included per order.
   6. Non-transferable: This offer cannot be exchanged for cash or other products.

11. Codex Christmas Advent Calendar - 2025

1. 1. This Advent Calendar promotion is available for a limited time only and while stocks last.
   2. The promotion applies to all orders placed online, by telephone, or by email.
   3. Customers must make a minimum purchase of €5 (excluding VAT and delivery charges, if applicable) to qualify for the Advent Calendar.
   4. No promo code is needed. Eligible online orders will automatically include the Advent Calendar in the basket.
   5. Although the Advent Calendar may appear in your basket, you will only qualify once the order has been successfully placed.
   6. Advent Calendars are available on a first-come, first-served basis and are subject to limited stock.

Current Campaigns

12. Win a Sponsored Place on NCI’s Certificate: Harnessing Neurodiversity in the Modern Workplace (October 2026)

1. Promoter

This competition is organised and promoted by Codex Office Solutions (“the Promoter”).

2. Competition Overview

Entrants have the opportunity to win one (1) fully sponsored place on the Certificate in Harnessing Neurodiversity in the Modern Workplace, delivered by the National College of Ireland (NCI), commencing in October 2026.

3. Entry Period

Opening Date: 1st April 2026. Closing Date: 1st June 2026

Entries received outside this period will not be considered.

4. Eligibility

To be eligible, entrants must:

• Be aged 18 years or over
• Be resident in the Republic of Ireland
• Be legally permitted to undertake education/training in Ireland
• Be available to attend and complete the course starting in October 2026

Employees of Codex Office Solutions, NCI, or any associated partners, and their immediate family members, are not eligible to enter.

5. NCI Entry Requirements:

Applicants must meet the admission requirements set by the National College of Ireland. These typically include:

• A Level 8 degree with a minimum 2.2 award or higher,
  or
• Applicants who do not meet the academic criteria may apply through the Recognition of Prior Experiential Learning (RPEL) process, where relevant professional experience can be considered

Additional requirements:

• Applicants whose first language is not English must meet NCI’s English language requirements
• Due to the blended delivery format, applicants must be able to:
• Navigate online learning platforms/websites
• Use standard applications such as Microsoft Word and Microsoft PowerPoint

Important: Final acceptance onto the programme is subject to NCI’s standard admissions process and criteria.

6. Prize

• One (1) fully funded place on the NCI Certificate programme
• The prize covers course fees only
• The prize is non-transferable, non-exchangeable, and no cash alternative will be offered

7. Winner Selection

• The winner will be selected by a panel of neurodiversity experts
• Entries will be assessed based on relevance, motivation, and potential impact
• The panel’s decision is final and no correspondence will be entered into

8. Winner Notification

• The winner will be contacted via the details provided at entry within 10 working days of the closing date
• If the winner does not respond within 5 working days, the Promoter reserves the right to select an alternative winner

9. Publicity

By entering, participants agree that:

• Their name and/or organisation may be used in promotional materials related to the competition

10. General

• The Promoter reserves the right to cancel, suspend, or amend the competition where necessary
• The Promoter accepts no responsibility for incomplete, lost, or delayed entries
